What is an Internal Event?

  • An event planned by a 91³Ô¹Ï department, office, or campus group
  • Paid for with 91³Ô¹Ï funds
  • Happens in a campus space or 91³Ô¹Ï-affiliated location

Examples of Internal Events

  • Department meetings
  • Workshops and trainings
  • Student programs and activities
  • Campus celebrations and recognition ceremonies

What is NOT an Internal Event?

Regularly scheduled classes and guest speakers held within an assigned classroom do not require a reservation.

However, a campus-wide speaker series, special lecture, or event hosted by a department outside of regular classroom instruction does require an event reservation.


Planning an Event at 91³Ô¹Ï

Getting started is easy. Follow these three simple steps:

Step 1: Review Event Requirements

Review event policies, timelines, and space guidelines to ensure your event meets campus requirements.

Step 2: Submit Your Request in 25Live

All internal event reservations must be submitted through 25Live.

Step 3: Complete Required Forms

Depending on your event, additional approvals or forms may be required, including:

  • Alcohol Request Form
  • Presidential Participation Request
  • CIBC Request
  • Risk Management approvals
  • Other event-specific forms

Event Approval Process

Once your request is submitted, it will move through the following process:

Request Submitted → Review → Approvals → Tentative → Confirmed → Event Day


Important Deadlines

âš  Event Requests

  • Must be submitted at least 15 business days before the event date.

âš  Meeting Requests

  • Must be submitted at least 24 hours in advance.

Early submissions are strongly encouraged to allow adequate time for review, approvals, and resource coordination.
